## Google Workspace done properly

Google Workspace is simple to start with, which is why many small businesses set it up themselves. Problems appear later: DKIM was never switched on, a leaver's files were deleted with their account, or everyone has admin rights because that was easiest at the time.

## Email setup and deliverability

For Gmail on your own domain, the DNS records at your registrar must be right:

- **MX**: newer setups use a single record pointing at smtp.google.com; older setups use the five aspmx records. Both work, but mixing them with an old host's MX does not.
- **SPF**: a TXT record including _spf.google.com, plus any other services that send as you, such as your CRM or invoicing software.
- **DKIM**: generated in the Admin console under Gmail authentication, published as a TXT record, then you must click Start authentication. Many businesses skip that last step.
- **DMARC**: a TXT record at _dmarc.yourdomain telling receivers what to do with mail that fails checks.

## Users, groups and shared drives

Files in a person's My Drive belong to that person. When their account is deleted, the files go with it unless they are transferred first. We set up **shared drives** for team files, which are owned by the organisation, and use the Admin console data transfer tool when someone leaves.

## Security settings worth turning on

- **Enforce 2-Step Verification** for every user, with a sensible enrolment period. See password and MFA setup.
- **Limit super admins** to one or two named people, each with a separate admin account.
- **Restrict external sharing** on Drive so files cannot be shared publicly by accident.
- **Review third-party app access**: remove old apps that were granted access to Gmail or Drive through OAuth.
- **Turn on alerts** for suspicious logins and new forwarding rules, a common sign of a compromised account.

## Everyday Google Workspace fixes

- **Google Drive for desktop not syncing**: usually the app signed out, ran out of local cache space, or is set to mirror files on a nearly full disk. We switch it to streaming where sensible.
- **Calendar sharing**: setting the right default visibility so colleagues see free and busy times without seeing private details.
- **Mail delegation**: letting an assistant read and send from a manager's Gmail without sharing a password.
- **Aliases vs groups**: an alias such as sales@ delivers to one person; a group delivers to several and can be used as a shared inbox.
- **Locked out of 2-Step Verification**: an admin can generate backup codes so the user can get back in and re-enrol a new phone.

## Google Workspace or Microsoft 365?

Both are good. Google Workspace suits teams that live in the browser and collaborate in Docs and Sheets. Microsoft 365 suits teams that rely on desktop Excel, Outlook and Word, or clients who send lots of Office files. We support both and will not push you to switch without a good reason. ### Why is my Google Workspace email going to spam?

Usually DKIM was never started in the Admin console, SPF is missing a sending service, or there is no DMARC record. dijitul checks your message headers and DNS, then publishes and enables the correct records.

### What happens to files when I delete a Google Workspace user?

Files in their My Drive are deleted with the account unless transferred first. dijitul uses the Admin console data transfer tool to move Drive files to another user before removing the account.

### Can Outlook work with Google Workspace?

Yes, using Google Workspace Sync for Microsoft Outlook or IMAP, though features differ. dijitul can set this up, but many teams find Gmail in a browser more reliable. Shared calendars and some Google features behave differently in Outlook, so we test with one user before rolling it out.

### Can you move us from Google Workspace to Microsoft 365?
