Email problems we fix
Email touches your domain, your DNS, your mail provider and every device your team uses. A change in one place, such as moving your website to a new host, can quietly break another. dijitul support traces the path a message takes and fixes the link that is broken. For the full range of IT work, see IT support.
- Emails not arriving: we check MX records, mail flow rules, quarantine and junk filters.
- Bounces: a 550 5.7.1 often means you are blocked or failing authentication; a 5.1.1 means the address does not exist; 5.2.2 means the recipient's mailbox is full.
- Emails landing in junk: usually SPF, DKIM or DMARC. See email deliverability.
- Outlook problems: see Outlook support.
When a website move breaks your email
This happens a lot. Your web designer moves the site to new hosting and changes your domain's nameservers. The new DNS zone has the website records but not your MX, SPF or Autodiscover records. Within hours, email stops arriving, or it starts arriving at an empty mailbox on the new web host.
We compare the old and new DNS zones, restore the missing records, and confirm delivery with test messages. DNS changes can take time to spread, as old records are cached until their TTL expires. See domain and DNS support and, for site moves, website migration support.
Moving off old hosting email
Many small businesses still use email that came free with their web hosting, accessed over POP3 or IMAP. POP3 often downloads mail to one PC and deletes it from the server, so if that PC dies, the email history goes too. Hosting mail also tends to have small mailbox limits and weaker spam filtering.
Moving to Microsoft 365 or Google Workspace gives each person a proper mailbox that syncs across PC, phone and web, with shared calendars and better security. We plan the move, copy existing mail across, switch the MX records at a quiet time and set up each device. Migrations are quoted upfront. See Microsoft 365 support, Google Workspace support and cloud migration.
Shared inboxes, aliases and forwarding
Addresses like info@, sales@ and accounts@ are handled differently depending on how many people need them. An alias simply delivers to one person's mailbox. A shared mailbox in Microsoft 365 lets several people read, reply and send as the address, with no licence cost up to 50 GB. A distribution group copies each message to every member.
Automatic forwarding to outside addresses, such as a personal Gmail, is blocked by default in Microsoft 365 for good reason: it is a favourite trick of attackers who have compromised an account. If you genuinely need it, we set it up safely for named mailboxes only, rather than switching the protection off for everyone.
Phishing and compromised mailboxes
According to the UK Government's Cyber Security Breaches Survey 2025, phishing was the most common type of breach or attack reported by UK businesses. A common result is a stolen mailbox password. Signs include sent items you did not write, new inbox rules that move or forward messages, and customers receiving fake invoices from your address.
If that happens, we reset the password, revoke sessions, remove malicious inbox rules and forwarding, check sign-in logs and make sure MFA is on. See email security and phishing protection.

Frequently asked questions
Why have my emails stopped arriving?
The most common reason is a DNS change, often during a website move, that removed or changed your MX records. Full mailboxes, mail flow rules and quarantine are other causes. dijitul checks each in turn and restores delivery.
What does a 550 5.7.1 bounce mean?
It means the receiving server rejected your message, usually because it failed SPF, DKIM or DMARC checks, or your sending IP is on a blocklist. dijitul reads the full bounce and fixes the cause, typically in your DNS records.
How much does email support cost?
dijitul charges £45 an hour + VAT for email fixes, with a 30-minute minimum. Moving from hosting email to Microsoft 365 or Google Workspace is quoted. The Complete plan at £99 a month + VAT includes a helpdesk.
Should I move from POP3 email?
Usually yes. POP3 often stores mail on only one computer, so a failed PC can lose your email history. dijitul moves businesses to Microsoft 365 or Google Workspace so mail syncs across every device.
Can you set up email on my phone?
Yes. For Microsoft 365, dijitul recommends the Outlook app for iOS and Android, which supports modern authentication and MFA. We can talk you through it remotely in a few minutes.
What should I do if my email account has been hacked?
Change the password from a clean device, then contact dijitul. We revoke active sessions, remove forwarding and inbox rules the attacker created, check sign-in logs and enable MFA to stop it happening again.
