Microsoft 365 support for small businesses
Microsoft 365 is where most small businesses keep their email, files and calls. When it is set up well, it runs quietly in the background. When it is not, you get password prompts, missing emails, files stuck in one person's OneDrive and licences for staff who left a year ago.

Choosing the right licence

Mixing licences is allowed and often sensible. Shared mailboxes such as info@ or accounts@ are free up to 50 GB. We check what each person actually uses before recommending changes. Business plans are capped at 300 users, which is not a problem for most of our clients.
Common Microsoft 365 problems we fix
Password and sign-in prompts
Repeated prompts usually come from a stale token in Windows Credential Manager, a device that has fallen out of Entra ID registration, or an old Outlook profile that still expects Basic Authentication, which Microsoft has retired in Exchange Online. See Outlook support.
MFA lockouts
When someone changes phone without moving Microsoft Authenticator, we require re-registration so they can set it up fresh. We also help move you from per-user MFA or Security Defaults to Conditional Access on Business Premium. See password and MFA setup.
Email authentication
DKIM is not switched on by default for custom domains. We publish the two CNAME selector records and enable signing, then add SPF and DMARC. See email deliverability.
Autodiscover
If your domain's Autodiscover CNAME points at an old host, Outlook may try to connect to the wrong server. We point it at autodiscover.outlook.com.
Teams, OneDrive and SharePoint
Files saved only in one person's OneDrive vanish from view when they leave. We help you move shared work into SharePoint sites linked to Teams, set sensible sharing settings, and use the OneDrive Known Folder Move feature so Desktop and Documents are backed up to the cloud. Microsoft 365 keeps deleted items for a limited time, but it is not a full backup. If losing a month of email would hurt, consider third-party backup. See data backup and recovery.
Starters and leavers in Microsoft 365
Most Microsoft 365 risk comes from accounts that are set up in a hurry or never closed. Our starter checklist covers creating the user, assigning the right licence, adding them to the correct groups, Teams and SharePoint sites, registering MFA on day one and setting up their device.
For leavers we block sign-in and revoke sessions straight away, then convert the mailbox to a shared mailbox so colleagues can still read it, set an auto-reply, give a manager access to their OneDrive files, and finally remove the licence so you stop paying for it. Converting to shared keeps the mail without a licence, as long as it stays under 50 GB. See new starter IT setup.

One-off Microsoft 365 jobs are £45 an hour + VAT, with a 30-minute minimum then 15-minute blocks. Adding a user, fixing a shared mailbox or setting up DKIM usually takes under an hour. The Complete plan at £99 a month + VAT includes 3 hours of work a month and a Microsoft 365 helpdesk for your staff. Frequently asked questions
What is the difference between Microsoft 365 Business Standard and Business Premium?
Business Standard includes Exchange Online email, Teams, OneDrive, SharePoint and desktop Office apps. Business Premium adds security and management tools: Intune, Conditional Access, Entra ID P1 and Defender for Business. dijitul recommends Premium where laptops leave the office or you hold sensitive data.
Does a shared mailbox need a licence?
Not normally. A Microsoft 365 shared mailbox is free up to 50 GB. It needs a licence if it goes over that size, needs an archive, or someone signs into it directly, which dijitul advises against.
How much does Microsoft 365 support cost?
dijitul charges £45 an hour + VAT for one-off Microsoft 365 work. The Complete plan is £99 a month + VAT and includes 3 hours of work plus a Microsoft 365 helpdesk for your team. Migrations are quoted.
Can you buy Microsoft 365 licences for us?
dijitul can manage licensing within your own tenant so you keep ownership and billing control. We advise which licence each user needs and remove ones you are paying for but not using.
Why does Outlook keep asking for my password?
Usually a stale cached credential, a broken Outlook profile, or a device no longer registered in Entra ID. dijitul clears the cached tokens, checks Autodiscover and rebuilds the profile if needed, normally in a single remote session.
Is Microsoft 365 data backed up automatically?
Microsoft keeps deleted items for a limited retention period, but that is not the same as a backup you control. dijitul can set up third-party Microsoft 365 backup if you need longer or point-in-time recovery.
