What AI support means for a small business
For most small businesses, getting value from AI is not about building anything. It is about choosing the right tool, connecting it to your existing email and files safely, and helping people use it every day. That is IT support work, and it is what we do.
Typical jobs we handle:
- Deciding between Microsoft 365 Copilot, ChatGPT Business and Gemini, based on the systems you already pay for.
- Moving staff from personal AI accounts to company accounts with single sign-on.
- Fixing SharePoint, OneDrive or Google Drive sharing so AI tools cannot surface private files.
- Writing an AI acceptable use policy.
- Short practical training using your team's real work.
- Troubleshooting: missing Copilot buttons, connectors that fail, licences assigned to the wrong people.
Pick the tool that fits what you already use
| If you use | Start with | Why |
|---|---|---|
| Microsoft 365 | Copilot Chat (included), then Copilot for selected users | Works inside Outlook, Word, Excel and Teams and respects Microsoft 365 permissions |
| Google Workspace | Gemini in Workspace | Google includes Gemini features in Workspace business plans, working in Gmail, Docs and Drive |
| A mix, or heavy research and analysis | ChatGPT Business | Separate workspace with admin controls, SSO and connectors to your files |
Paying for two overlapping AI tools for every person is the most common waste we see. We look at who writes, who analyses and who mostly reads, and license accordingly. If you are deciding between platforms entirely, our Microsoft 365 vs Google Workspace comparison may help.
Your data comes first
AI assistants that search your company data will find whatever the user can open. In most businesses we look at, that is more than it should be: old "Everyone" permissions, sharing links that never expire, HR folders inside general team sites. We fix that before switching AI on, and we check:
- Sharing settings and anyone-links in SharePoint, OneDrive or Google Drive.
- Guest and external accounts that should have been removed.
- MFA on every account, because an AI assistant makes a compromised account more dangerous. See password and MFA setup.
- Sensitivity labels for confidential documents, where your licence includes them.
When you need something built
Some AI projects go beyond setting up off-the-shelf tools: a chatbot on your website trained on your own documents, an integration that drafts quotes from your CRM, or an automation that reads incoming emails and files them. That is software development rather than support. Our sister company dijitul developments builds those, with a fixed quote after a free chat. We will tell you honestly when a job has crossed that line.
Training that sticks
Most AI training fails because it is generic. We run short sessions, usually under an hour per team, built around tasks your people do every week: summarising long email threads, drafting first versions of proposals or policies, pulling actions out of meeting recordings, cleaning up a spreadsheet, or rewriting a letter in plainer English. Everyone leaves with a few prompts they will actually reuse.
We also cover the limits honestly. AI tools can produce confident, wrong answers, invent references and miss context that a person would catch. The rule we teach is simple: AI writes the first draft, a person owns the final one. After a month we look at usage reports, where your licences provide them, and adjust who has which seat so you are not paying for licences that sit unused.

Frequently asked questions
Can dijitul help us start using AI at work?
Yes. dijitul helps UK small businesses choose an AI tool that fits their existing Microsoft 365 or Google Workspace setup, tidy file permissions, set up company accounts, write a usage policy and train staff. One-off work is £45 an hour + VAT.
Which is better for a small business, Copilot or ChatGPT?
It depends on what you already use. If your email and files are in Microsoft 365, Copilot works inside those apps and respects existing permissions. ChatGPT Business is a strong separate tool, especially for research and analysis. dijitul often recommends Copilot Chat for everyone and paid seats only for heavy users.
Is it safe to use AI with client data?
It can be, with a business plan that does not train on your data, company sign-in with MFA, tidy file permissions and a clear policy on what data is off limits. dijitul sets those up. Free personal AI accounts are where most of the real risk sits.
Can you build us a custom AI chatbot?
Custom AI builds are handled by our sister company, dijitul developments, which quotes a fixed price after a free chat. dijitul support handles the setup, security and day-to-day support of off-the-shelf tools such as Copilot, ChatGPT Business and Gemini.
Do you resell AI licences?
No. You buy Copilot, ChatGPT or Gemini licences directly from Microsoft, OpenAI or Google, or through your existing supplier. dijitul charges only for its time, at £45 an hour + VAT or through a monthly plan, so our advice on how many seats you need is independent.
