Sound familiar?

  • Several staff share one HMRC Government Gateway login and the MFA code only goes to one person's phone
  • Your tax software will not submit because of a certificate, proxy or Windows update problem
  • A client receives a fake invoice or payroll change request that appears to come from your practice
  • Opening large client files from the server is painfully slow during January
  • Scanned client records and ID documents sit in an unprotected shared folder
  • You are not sure who still has access to former staff members' email and software accounts

Key facts

  • Support for the machines and networks running practice software such as IRIS, CCH, TaxCalc, BTCSoftware and Xero Practice Manager
  • Help moving staff onto individual HMRC sign-ins and authenticator apps as HMRC enforces MFA on agent accounts
  • Microsoft 365 secured with MFA and Conditional Access, plus SPF, DKIM and DMARC to cut invoice and payroll fraud
  • Separate backups of Microsoft 365 and any on-premises practice data, tested by restoring files
  • Extra capacity planning before the 31 January self assessment peak and MTD quarterly deadlines
  • Complete plan £99 a month + VAT; one-off jobs £45 an hour + VAT

Making Tax Digital and the software it brings

Making Tax Digital for Income Tax became law for sole traders and landlords with qualifying income over £50,000 from 6 April 2026, falling to £30,000 from April 2027 and £20,000 from April 2028, according to HMRC. The first quarterly updates were due by 7 August 2026, with further deadlines on 7 November, 7 February and 7 May. That means more clients on cloud bookkeeping, more bridging spreadsheets and more submissions running through your practice systems every quarter.

We keep the technology side out of your way. That includes browser and Office versions that your MTD software and add-ins support, Excel bridging add-ins that stop working after an update, reliable broadband and Wi-Fi so cloud ledgers load quickly, and enough disk and memory on staff PCs to run several client files and practice tools side by side.

HMRC agent account multi-factor authentication

HMRC has been switching on multi-factor authentication for agent services accounts and legacy online services accounts, with the remaining accounts due to be switched between 28 September and 15 October 2026 according to HMRC's published timetable reported by TaxCalc and the professional bodies. Practices that relied on one shared username and password now find that a code goes to a single phone.

We help you fix the underlying problem rather than work around it:

  • Set up authenticator apps on firm-managed phones instead of personal SMS where possible.
  • Move to individual team member sign-ins under your agent services account so each person has their own access.
  • Record who holds which credentials and remove leavers promptly.
  • Store any remaining shared secrets in a business password manager, not a spreadsheet.

See password and MFA setup for how we roll this out without locking anyone out on a deadline day.

Practice software, servers and the January peak

Many practices still run IRIS, CCH Central or TaxCalc with a shared database on a local server or a hosted desktop, while bookkeeping lives in Xero, QuickBooks, Sage or FreeAgent. When the database server is underpowered or the network is congested, January becomes miserable.

We monitor disk space, Windows Server updates and backup jobs, and look at network switches and Wi-Fi before the busy season, not during it. If a Windows update breaks a submission module or a certificate expires, we diagnose it and work with your software supplier. Where it makes sense, we plan a move from an ageing server to the cloud; our cloud migration page explains the options and the trade-offs.

Client data, AML records and fraud

Accountancy practices hold bank statements, payroll data, passports and utility bills gathered for anti-money laundering checks. That is exactly what criminals want. According to the UK Government's Cyber Security Breaches Survey 2025/2026, 43% of UK businesses reported a breach or attack in the previous 12 months, and phishing was the most common type.

We protect that data with MFA, encrypted laptops through Intune, restricted SharePoint permissions on client folders, and email authentication so criminals cannot easily send fake invoices in your name. We also back up Microsoft 365 separately and test restores. Professional body AML supervision is due to move to the FCA from late 2028 under HM Treasury's reforms, and good access records and data handling will help with whoever supervises you. See GDPR IT compliance.

Frequently asked questions

Can you help us with HMRC agent account MFA?

Yes. dijitul helps practices set up authenticator apps, move staff to individual sign-ins under the agent services account, record who holds which credentials and remove access for leavers, so an MFA prompt does not block a submission on a deadline day.

Do you support IRIS, CCH or TaxCalc?

We support the PCs, servers, Microsoft 365 and network these packages run on, and we liaise with the software supplier when a fault is in their product. Licensing and in-depth software configuration remain with the supplier, so you keep your existing support agreement with them.

Does Making Tax Digital change our IT needs?

It increases them. More clients on cloud bookkeeping, more quarterly submissions and more Excel bridging tools all depend on up-to-date browsers, Office versions and reliable broadband. dijitul keeps those working so your team can focus on the clients rather than the technology.

How much is IT support for an accountancy practice?

dijitul's Complete plan costs £99 a month + VAT and includes IT and Microsoft 365 helpdesk support plus 3 hours of fixes each month. Smaller needs can use Essential at £25 or Business at £50 a month + VAT. Ad-hoc work is £45 an hour + VAT.

Can you stop criminals sending fake invoices that look like they come from us?

We can make it much harder. dijitul sets up SPF, DKIM and DMARC on your domain, enforces MFA on mailboxes and alerts on suspicious forwarding rules. You should still confirm any change of bank details by phone, but spoofed emails from your exact domain become far less likely.

Do you work with practices outside Nottinghamshire?

Yes. dijitul is based in Mansfield and supports accountancy practices across the UK remotely. If a job needs someone on site, such as a server or network install, we say so upfront and quote it.
