CRMs, portals and your website
Agencies run on their CRM. Reapit, Alto, Jupix, Street and Expert Agent hold applicants, valuations, tenancies and the property feed that pushes listings to Rightmove, Zoopla, OnTheMarket and your own website. When the feed breaks, properties disappear or show stale prices.
We trace website feed problems on the website side: the import plugin, the scheduled task that runs it, PHP errors, image storage filling up, or an expired API key. If the fault is in the CRM itself, we give the supplier the evidence. We also keep your WordPress site updated and fast so property pages load quickly on phones. See website fixes.
National Trading Standards guidance on material information expects listings to show Part A details, such as council tax band, price and tenure, with Parts B and C, covering things like utilities, parking and flood risk, close at hand. Your CRM holds the data; we make sure your website template actually displays it.
Stopping deposit and completion fraud
Estate and letting agents handle large sums and send bank details by email every day, which makes them a favourite target for mailbox compromise. A criminal who gets into a negotiator's mailbox can watch a sale progress and send a fake request at the right moment.
- MFA on every Microsoft 365 and CRM account.
- SPF, DKIM and DMARC so criminals cannot easily spoof your domain.
- Alerts when a mailbox forwarding rule or inbox rule is created.
- External email tagging and phishing training for every branch.
Combine these with a firm policy of never changing bank details by email. See phishing protection.
AML records and client data
Estate agency businesses must register with HMRC for anti-money laundering supervision and carry out customer due diligence, so you collect passports, driving licences and proof of address. Letting agents fall under the same supervision where rents reach the HMRC threshold. HMRC has fined hundreds of agents for AML failures, and the data you collect must also be handled under UK GDPR.
We help you keep that data in a restricted SharePoint location or your AML provider's platform rather than in email attachments and phone camera rolls, set retention, and make sure leavers lose access on their last day. See GDPR IT compliance.
Mobile teams and branch networks
Negotiators work from cars, empty houses and the office. We enrol company phones and tablets in Intune so they have passcodes, encryption and remote wipe, and keep CRM apps updated. For branches, we look at broadband resilience, Wi-Fi coverage and the window display screens that often share the same network.
If you have several branches, we can standardise them so every office has the same set-up, printers and Wi-Fi settings, which makes problems faster to fix remotely. See network support.
Joiners, leavers and shared accounts
Agencies often have high staff turnover, especially among negotiators and lettings staff. Every leaver who keeps access to the CRM, the shared lettings mailbox or the portal admin account is a risk to your landlords and applicants. We build a simple joiners and leavers checklist: new staff get their own Microsoft 365 account, CRM login and phone on day one, and leavers lose all of it the day they go, with their mailbox converted to a shared mailbox so nothing is lost.
Shared logins for portal admin accounts and social media should live in a business password manager, not on a sticky note in the branch. That way passwords can be changed without chasing everyone. See new starter IT setup.
Plans and prices for agencies
Most agencies choose the Complete plan at £99 a month + VAT per business, which includes IT and Microsoft 365 helpdesk support and 3 hours of fixes or changes each month. If you only need your website and its feed looked after, Business at £50 a month + VAT includes an hour of changes and priority support, and Essential at £25 a month + VAT covers updates, backups and monitoring.
Ad-hoc work is £45 an hour + VAT. Multi-branch roll-outs are quoted. See pricing.

Frequently asked questions
Can you fix our property feed to our website?
Usually, yes. dijitul checks the website side of the feed, including the import plugin, scheduled tasks, PHP errors, storage and API keys. If the problem is inside the CRM, we pass the evidence to your CRM supplier so it gets fixed faster.
How do we stop fake bank detail emails to buyers and landlords?
dijitul enforces MFA on mailboxes, sets up SPF, DKIM and DMARC on your domain and alerts on suspicious forwarding rules. Combine that with a rule that bank details are never changed by email and are always confirmed by phone on a known number.
Where should we store AML ID documents?
In a restricted location such as a locked-down SharePoint library or your AML provider's platform, not email or phone galleries. dijitul can set permissions, retention and access reviews so only the right people see them and leavers lose access.
How much does IT support for an estate agent cost?
dijitul's Complete plan is £99 a month + VAT, including a team helpdesk and 3 hours of fixes each month. Website-only care starts at £25 a month + VAT. Ad-hoc jobs are £45 an hour + VAT, and multi-branch projects are quoted.
Can you manage negotiators' phones?
Yes. dijitul enrols company phones and tablets in Microsoft Intune, enforces passcodes and encryption, pushes the apps your team needs and can wipe a lost device remotely, so client data does not walk away with it.
